We're Hiring! Seeking a Legal Secretary

Job Description:

Solo law practice seeks a 50% time Legal Secretary.  All Family Legal | The Law Office of Amira Hasenbush provides legal services in family formation, including adoption and assisted reproduction, with a focus on LGBTQ and diverse families.

Job Responsibilities:

  • The primary goal of the Legal Secretary will be to provide assistance in administrative tasks while implementing systems that keep operations running smoothly.

  • The Legal Secretary will, after training:

    • Produce client engagement and closure paperwork

    • Fill out court forms using templates

    • Send documents for signatures through the firm’s e-signing software

    • Send documents for signatures with proper markings through regular mail

    • Print, compile and prepare paperwork for court submissions

    • Handle daily incoming and outgoing mail

    • Answer phones

    • Help maintain the firm’s electronic and paper filing systems

    • Complete other administrative tasks as needed

  • The Legal Secretary will also be in charge of assessing systems, procedures and technology, and recommending continuous improvements to streamline processes and simplify the work of the Legal Secretary and the firm overall.

 

Job Qualifications:

  • The ideal candidate for this job is extremely detail oriented: when someone calls you Type A, you wear it as a badge of honor and strive to get to Type A+.

  • The ideal candidate also loves technology and enjoys finding new ways of using technology and other creative solutions to save time and improve systems and organization. 

  • They will be friendly, courteous and kind to all clients, potential clients, lawyers and anyone else who interfaces with the firm.

  • They should be an excellent and reliable communicator, who is able to set and work within clear timelines and deadlines. 

  • They are solutions-oriented and constantly striving for improvement and growth. 

  • They should also identify as a lifelong learner who enjoys picking up new skills and knowledge as necessary. 

  • All candidates should have excellent English grammar and writing skills. 

  • Candidates with fluency in Spanish and/or Mandarin, are highly encouraged to apply. 

  • The ideal candidate will not only be comfortable with diversity, but will thrive in working with a wide variety of people from different backgrounds. 

  • While a bachelor’s degree would be preferred, candidates with different educational backgrounds are welcome to apply who can show relevant experience and transferrable skills. 

 

Compensation:

This position will begin with a 90-day trial period.  The position will be 20 hours per week at a pay of $25 per hour.  While scheduling will be flexible, the job will require time at least three days per week, and time working physically in our office in Encino, California at least twice per week.
